Payroll is usually a company's largest single expense, yet in many organisations it reaches the ERP as one opaque manual journal at the end of the month. That single line hides everything finance actually needs: cost-centre splits, project allocations, provisions and accruals.

A proper payroll-to-ERP integration has three layers. First, master data alignment: employees, departments and cost centres in the HR system map cleanly to dimensions in the ERP, so a payroll element always knows where it belongs in the ledger. Second, the posting rules: each pay element - basic salary, overtime, allowances, GOSI, gratuity accruals - maps to debit and credit accounts in your own chart of accounts. Third, the transport: postings flow automatically through an API or native connector, with validation before anything touches the ledger.

What should you look for in practice? Native connectors beat file exports: a connector that posts directly into SAP Business One, SAP, Oracle, Microsoft Dynamics or Odoo removes the re-keying step where most errors are born. Period locking matters: once a payroll period is posted and locked, nothing can silently change beneath the ledger. And multi-company support is essential the moment you run more than one legal entity, each with its own accounts and currencies.

The most common mistakes are integrating too late (bolting posting rules onto a payroll already in production), mapping at the wrong level of detail (one giant salary account tells finance nothing), and ignoring the reversal path - corrections and off-cycle runs need a clean posting story too.
